# Your invoices, on demand

> View, download, and reconcile every monthly invoice — and track spend against a PO or budget in real time.

The **Invoices** page at [app.gorynse.com](https://app.gorynse.com) holds every monthly invoice. Open any invoice as a PDF, see what's paid versus outstanding, pull the transaction history, and watch a budget burn down as charges accrue.

  **Invoices are emailed to you each month.** This page is your backup — use it any time the email gets filtered, you need an older invoice, or you're reconciling against a PO.

## Didn't get your invoice email?

Almost always, the cause is the same: **your IT firewall is blocking the sender.** Invoices are sent through Zoho Books from `message.service.sender.zohobooks.com` rather than a `@gorynse.com` address, and many corporate firewalls block that sender while letting other Rynse email through.

    * `@gorynse.com` — general Rynse email
    * `message.service.sender.zohobooks.com` — invoice delivery

    Whitelisting only `@gorynse.com` is the usual half-fix that still leaves invoices blocked.

## The invoices table

Each row is one monthly invoice. Click the **invoice number** to open its PDF. The other columns show who it's made out to, status, due date, the address it was sent to, the total, and the outstanding **Balance** (`$0.00` means paid).

Below the table, **Total for Period** sums every invoice in view — handy for reconciling a quarter or fiscal year.

### Status badges

    Red. A balance remains and the due date has passed. Pay as soon as possible.

    Gold. A balance is outstanding, with time left — the count tells you how long.

## Paying an invoice

Every invoice PDF offers two ways to pay:

* **By card** — a payment link near the top of the PDF opens a secure checkout for debit or credit.
* **By ACH** — routing and account numbers are printed at the bottom for bank transfer or wire.

## Tracking spend against a budget or PO

If you've set up a **Purchase Order or budget** under **Organization → Purchase Orders**, a **Budget Tracking** card appears at the top of this page and updates as new invoices and transactions roll in.

  You don't need a formal PO — a budget works just as well as a standalone monthly or quarterly spend cap. Set any period that matches how you budget.

The card shows the budget **period**, how much has been spent (invoiced) against it, what's **remaining** before the limit, the percentage used with a live progress bar, and how many days are left in the period. If a PO file was uploaded, it's one click away here.

### Switching budgets and facilities

With more than one active budget, the **dropdown on the right** of the card switches between them — each tracks its own period and limit. A **Facility filter** narrows the tally to a single location, useful when departments allocate a slice of the budget per site.

  At **80% utilization**, an email alert goes to the account contacts — early warning to reallocate funds, request a new PO, or pause spending before the cap. A second alert fires if the budget is exceeded.

### Setting up a budget

In **Organization → Purchase Orders**, set a **Budget Name** (e.g. `FY-2024-2025`), an optional **PO Number**, a **Budget Limit** in dollars, a **Start and End** month/year, and an optional **PDF of the PO**. Tracking starts immediately and the card appears at the top of this page.

## Pulling supporting detail

Each invoice comes with a transaction-level breakdown — every wash, fuel charge, mobile wash, or membership event in the total. It's **emailed alongside the invoice** each month as a CSV, and you can re-pull it any time from the **Visits** page: set the date range to the billing period and click **Export CSV** (great for handing a quarter or a single month to a department head).

  <Accordion title="Can I pay by credit card?">
    Yes — every invoice PDF has a card payment link. ACH transfer details are also printed on each invoice.

  <Accordion title="Why does it still say Overdue after I paid?">
    Reconciliation can take a couple of business days after a payment posts. If it's been longer, email <a href="mailto:billing@gorynse.com">[billing@gorynse.com](mailto:billing@gorynse.com)</a> with the invoice number.

  <Accordion title="Can I get the line-item detail behind an invoice?">
    Yes — the supporting CSV is emailed with each invoice and always available on the **Visits** page. Filter to the invoice's date range and click **Export CSV**.

  <Accordion title="Do I need a PO to use the budget tracker?">
    No. A budget works with no PO attached — a simple monthly or quarterly spend cap, with the same 80% email alert. To track a single facility's draw, use the **Facility** filter on the Budget Tracking card.
